Booking Terms and Conditions


Some terms and Conditions - just to know where we both stand…..

Our desire is for you to have the very best experience of the Hunter Valley, our accommodations, dining and other services. To assist us in delivering you that experience we have developed the following policies and guidelines which we respectfully request that you adhere to before, during and after your stay.

Room Occupancy Rate

Our room rates are based on double occupancy, with one bed provided. Please note that an additional fee of AUD $39.00 per night will apply for each extra person staying in the room. This fee will be clearly outlined in the payment summary when you proceed with your booking. Kindly be aware that this extra person fee will also apply when two people require two separate beds.

Children
Children under 12 years of age may not stay in any room without an Adult present.
Persons aged over 2 will be charged Extra Person fee for each person.

Payment Policy

At the time of booking we require credit card details. 50% payment will be required at booking time.
The remainder of payment will be required within two weeks of arrival.

Cancellations
We understand plans change. Cancellations made with more than 14 days notice incur an administration charge of 30% of total booking fee. Cancellations within this 14 day period will incur a fee equal to the total accommodation charge which will be applied to your credit card. We STRONGLY recommend you take out appropriate travel insurance.

Non-arrival
Should you fail to arrive on the scheduled day of your reservation, your room will be held until the following day in case you have been unforeseeably delayed and are unable to contact us. Should you not arrive the next day your reservation will be cancelled and the cancellation charge will be applied to your credit card.
After check-in, should you shorten your stay, this will be treated as a cancellation and full payment will be charged. We STRONGLY recommend you take out appropriate travel insurance.

Local Taxes
All guest expenses are subject to Goods & Services Tax of 10.0% which is included in any room or ancillary prices quoted.

Smoking
Smoking is strictly prohibited in our guest rooms as well as in enclosed public areas, in compliance with the law in NSW. We have smoke detectors installed in each room to ensure adherence to regulations. There are ample outdoor areas throughout the property where smoking is permitted. Please note that if smoking is found to have taken place in a guest room, a sanitization fee equivalent to one additional night's accommodation or package fee will be charged. This fee is necessary to restore the room to its original clean and smoke-free condition.

Small Pets and Animals
No pets or other animals are allowed within our guest rooms, and only dogs with prior permission. Separate policies apply for dogs residing with you.

Damage to Property

We strive to provide a high quality standard of accommodation as befits a boutique Lodge. Of course, damage to Lodge property will be charged.

For guests with Dogs……

Dogs and Puppies are warmly welcomed on the condition they are trained and house-broken. You are responsible for the dog/puppy behaviour on the premises. By bringing your dog onto the premises you confirm you are indemnifying Vino Paw Tours, Vacy Hunter Valley Lodge and their staff, officers, employees and agents against all and any claims arising in relation to your dog.

Please do not leave your dog alone in your room, and control your dog on a leash when outside and on the Lodge grounds. You are responsible for your dog’s behaviour and control.

Allowed numbers and size of dogs:

3 small-sized dogs

or

2 medium-sized dogs

or

one large dog.

Feeding arrangements:

Kindly refrain from feeding your dogs inside the room. Upon request we can provide Dog Beds at an additional charge of $19 per bed. Please note that a standard cleaning service fee of $49 will be applied to cover extra cleaning and disinfecting. In cases of excessive shedding or strong odours, a deep cleaning service fee of $79 will apply.

Please advise us if your dog has an accident in the room, so targeted cleaning using enzymes to eliminate odours can be performed.

Please do not allow your dog onto furniture or beds. If you need a dog bed please ask us for one.

Please do not wash your dog in the room. A dog wash/shampoo/dry service can be arranged with notice.
